Build your registration form

Collect participant information using custom fields, and use logic to control who can register.

Goal

Create a registration form that collects the right information from participants and (optionally) prevents registration based on rules you set.

When to use this

  • You are setting up a new fair and want to collect information from registrants
  • You want to add eligibility rules (example: must be eligible to work in Canada)
  • You want to reuse a form from a previous fair

What you’ll need

  • Organizer access to the fair
  • A list of questions you want candidates to answer before registering

Where forms live

In your fair, click Forms in the left sidebar. You will see three forms:

  • Registration form

    Used when participants register for the fair.

  • Participant feedback form

    Sent to everyone who registered one hour after the fair ends.

  • Booth feedback form

    Sent to all employers/booths one hour after the fair ends.

Tip: Start with the Registration form first. You can set up feedback forms later.

Registration form

Step 1: Open the Registration form

  1. Open your fair.
  2. Click Forms.

Each form has its own card with Add field and Preview in the header, and a green Saved indicator — your changes save automatically as you work.

The Registration form also has a Share form responses with booths toggle. Turn it on if you want booths to view the registration form responses of participants they connect with — check first that none of your questions collect information you would not want employers to see.

The Registration form is where you collect information from participants before they register.

Step 2: Add a field

  1. Click Add field.
  2. Select the field type you want to add.
Click Add field to choose a question type.

Step 3: Configure the field

After adding a field, click the edit (pencil) icon to configure it. You can set:

  • Label (the question the participant sees)
  • Help text (optional explanation)
  • Placeholder (optional example text)
  • Optional toggle (whether the question is required)

For Select and Multi-select fields, add the answer choices under Select options.

Edit a field to set the label, help text, placeholder, and options.

Tip: If a field shows “Missing options,” it needs at least one option before it can be used.

Step 4: Add logic (optional)

You can add logic to control whether someone can register based on their answers.

Example:

  • Question: “Are you legally eligible to work in Canada?”
  • If the answer is No, prevent registration
  • If the answer is Yes, allow registration

To add logic:

  1. Edit the field.
  2. Under Logic, click Add logic.
  3. Add a condition (example: “Matches option Yes”).
  4. Add additional conditions if needed using AND/OR.

Note: Modifying options may reset logic for that field.

Add logic to a field to control eligibility based on a participant’s answer.

Step 5: Reorder, edit, or delete fields

From the Registration form list you can:

  • Drag and drop to reorder fields
  • Edit a field (pencil icon)
  • Delete a field (trash icon)
Drag to reorder fields, or use the pencil and trash icons to edit or delete them.

Step 6: Preview your form

Click Preview in the form header to test the registration experience the way a participant will see it. There is no Save button — your changes are already saved.

Reuse a form from a previous fair

If you have built a registration form before, click More (⋮) in the form header and choose Import to bring in its questions, then edit them for this fair.

Field ideas (common examples)

  • URL: LinkedIn profile
  • Number: Years of experience
  • Multi-select: Industries of interest
  • Select: Work eligibility, student status, preferred location

Troubleshooting

My field says “Missing options”

You added a Select or Multi-select field but did not add options. Edit the field and add at least one option.

My logic disappeared

Changing select options can reset logic. Re-open the field and re-add the logic after updating options.

My changes are not showing

Changes save automatically. Refresh the form builder to confirm your edits are there, then use Preview to check the participant-facing version.
