Manage registrations
Review registrations, add registrants, email them, and handle resumes and accessibility requests.
Goal
View and manage registrations for your fair, including checking registration status, viewing form answers and resumes, handling accessibility requests, adding registrants yourself, emailing registrants, and exporting data.
When to use this
- You want to see who has registered (and whether their registration is complete)
- You want to review registration form answers or resumes
- You received an accessibility request from a registrant
- You need to register someone yourself, or import a list of participants
- You want to send an email to everyone who registered
- You want to export registrations to a CSV

- Organizer access to the fair
- A fair created in Withe
Overview
The Registrations tab shows everyone who has registered for your fair. You can:
- Sort, search, and filter registrations
- See registration status (Valid vs. Incomplete) and who has checked in
- View form results and resumes (if uploaded)
- Review accessibility requests
- Add registrants using the Register button
- Email registrants, close registration, or download a CSV from the More (⋮) menu
View and manage registrations
- Open your fair.
- Click Registrations in the left-hand menu.
- Review the table of registrants.
At the top you will see the total number of registrations, plus a count of how many are checked in and how many are valid.
Filter, search, and sort
- Use the Filter registrations search bar to quickly find someone by name or email.
- Click column headers to sort by items like Name, Email, State, Source, or Time slot start.
- Click Columns to choose which columns to show or hide (the table scrolls sideways to reveal the rest).
View form results and resumes
- If a registrant completed the registration form, click View form in the Form results column.
- If a registrant uploaded a resume, click View resume in the Resume column.
Notes:
- Resume upload is optional for registrants. You may see “Not uploaded” if they skipped it.
- “Incomplete” typically means they did not finish the registration flow.
Add registrants
Click Register (top-right) to choose one of three ways to add participants:
- Organizer form — create a registration on behalf of a participant. Use this for phone or email sign-ups, or to fix a registration someone could not complete. On the day of the fair you can also select the check-in option here, so the participant is registered and checked in at once — see 12. Participant Check-In for In-Person Fairs.
- Bulk import — upload a CSV to register multiple participants at once. Use this when you have a list from a partner organization or a previous system.
- Participant form — display the form at the fair for participants to register themselves. Use this on a tablet or laptop at your welcome desk for walk-ins.
Handle accessibility requests
If a registrant submits an accessibility request, you will see a View request button in the Accessibility column.
- In Registrations, find the row with View request.
- Click View request.
- Review the request details.
- Choose one of the following:
- Accept to approve the request
- Deny to decline the request
- Email to contact the registrant for clarification or next steps
Email registrants
Use an email blast to send a custom message — for example a reminder the week before, day-of directions, or a thank-you with next steps.
- Click More (⋮), then Email registrants.
- On the Compose tab, choose an Audience (for example, all registrants regardless of status).
- Enter a Subject and your Message.
- Click Send.
Use {{first_name}} in your message to personalize it with the recipient’s first name.
The History tab shows the emails you have already sent.
Close registration
There are two ways to stop taking new registrations:
- Close it yourself, whenever you choose. Click More (⋮), then Close registration. This works at any point — days ahead of the fair if you want a sign-up deadline, or on the day once you have the numbers you need.
- Let capacity close it for you. Set Max participants when you create the fair, and registration stops once that limit is reached (per time slot, if you use time slots). See 5. Create a fair (Organizers).
Closing registration does not affect the people who have already registered — they stay in the list and can still check in.
Download registrations as a CSV
- Click More (⋮), then Download CSV.
- Open the file in Excel or Google Sheets for reporting, mail merges, or stakeholder updates.
