Set up billing to charge booths

Connect Stripe, set booth pricing, and collect employer payments.

Use Billing to charge employers (booths) to participate in your fair. Candidates are not charged through Withe.

Withe uses Stripe Connect (Express) so employers can pay you securely, and payouts go directly to your organization’s Stripe account.

When to use this

  • You want to charge employers for booths at a fair
  • You want to offer multiple booth packages (for example, Standard, Premium, Sponsor)
  • You need a simple checkout experience for employers that pays your organization directly

Before you start

To charge employers, you will need:

  • Access to the fair as an organizer/admin
  • An organization email and basic business details (required by Stripe)
  • A bank account where Stripe can pay out funds

What Billing does

Billing has two parts:

  1. Connect Stripe (one-time setup for your organization)
  2. Create booth prices (per fair, so employers can select and pay)

Once Stripe Connect is enabled, you can create one or more booth prices and share them with employers during invitation or onboarding.

Step 1: Open Billing

  1. Open your fair in Withe
  2. Click Billing in the left-hand menu

If billing is not enabled yet, you will see a prompt to enable payment processing.

Step 2: Enable payment processing and connect Stripe

If Stripe is not connected:

  1. In Billing, click Enable in settings
  2. Click Complete onboarding
  3. You will be redirected to Stripe Express to complete setup

Stripe will ask for details like:

  • Organization legal name
  • Business address
  • Representative details (for verification)
  • Bank account for payouts
Go to settings to see the status of “Payment processing”. If incomplete, click on “Complete onboarding”.

What happens after onboarding

  • Your organization is now connected to Stripe
  • Withe can show booth prices to employers and collect payments
  • Stripe will handle payouts to your bank account based on your Stripe settings

Step 3: Create booth prices for this fair

After Stripe is connected, return to the fair’s Billing tab.

  1. Click Create price
  2. Fill out the booth price details
  3. Save the price
Once onboarding is complete, you can click Create price to set your first price.
Enter booth price and description to set the price.

Fields explained (Create Booth Price)

Name (required)

What employers see in pricing tables and checkout. Examples:

  • Standard Booth
  • Premium Booth
  • Sponsor Booth

Description

A longer explanation shown during selection and checkout. Good to include:

  • What’s included
  • Any deadlines or requirements
  • Who this option is for

Price amount

The amount an employer will pay for this option.

Currency

Choose the currency you charge in (for example CAD or USD). Make sure it matches how you want to receive payouts in Stripe.

Featured booth (optional toggle)

If enabled, selecting this price automatically makes the employer’s booth featured, which helps it appear more prominently to candidates.

Marketing feature list (optional)

Short bullet-style features shown to employers to help them compare options, such as:

  • Featured placement
  • Dedicated booth QR code signage
  • Extra recruiter seats
  • Spotlight in pre-event email
  • Sponsored placement on the landing page

Step 4: Use prices when inviting employers

Once you have one or more prices:

  • Employers can be directed to checkout and choose the package that fits them
  • You can offer a simple “Standard vs Premium” set of options
  • You can keep pricing consistent across fairs or vary it by event

What employers experience

When an employer is ready to participate:

  • They choose a booth price/package
  • They pay via Stripe’s secure checkout flow
  • Payment routes to your connected Stripe account
  • The booth is created/activated based on your fair setup and the selected package

Important notes

Withe does not charge candidates through Billing

Billing is designed for employer booth fees. Candidate registration remains separate and can be free or managed through your own process.

Withe does not hold your funds

Employer payments are processed by Stripe and paid out to your organization based on your Stripe payout settings.

Stripe verification is required

Even if you are just running a small fair, Stripe typically requires standard identity and business verification to process payments.

Common questions

Do I need Stripe for every fair?

You complete Stripe onboarding once for your organization. After that, you can use Billing across multiple fairs.

Can I create multiple booth prices?

Yes. Create as many as you need. Most organizers use 2 to 4 options.

Can I change a price later?

You can create new prices any time. If you need to change what you offer, it is often cleaner to create a new price option and stop using the old one for new employers.

Can I offer free booths and paid booths in the same fair?

Yes. You can invite some employers directly without charging, and use Billing for paid packages when needed.

What currencies are supported?

You can select a currency when creating a price. Stripe availability can vary by region, and your Stripe account configuration may influence supported currencies.

What happens if Stripe onboarding is incomplete?

You will not be able to charge employers until onboarding is completed and Stripe is connected successfully.

Troubleshooting

“Enable in settings” keeps showing

  • Confirm you completed Stripe Express onboarding
  • Refresh the page and return to Billing
  • Check if your Stripe account still requires verification steps

Onboarding started but not finished

  • Return to Billing and click Complete onboarding again
  • Stripe will usually resume where you left off
