Goal

Create trackable source links for your fair so you can see where registrations came from (email campaigns, social posts, QR codes, partner sites, and more).

When to use this

  • You are promoting your fair across multiple channels
  • You want to measure which campaigns drive registrations
  • You are using QR codes on posters or in-person promotions

What you’ll need

  • Organizer access to the fair
  • A list of promotion channels you want to track (example: Instagram, newsletter, partner email)

Overview

A source is a unique link for a specific marketing channel or campaign. When someone registers using that link, Withe tracks the registration back to that source and summarizes results in Reports.

Common source examples:

  • Email: “Jan Newsletter”, “Partner Blast”, “Employer Outreach”
  • Social: “Instagram”, “LinkedIn Post”, “TikTok”
  • QR codes: “Poster QR”, “Campus Screen”, “Flyer QR”
  • Partners: “Chamber Website”, “Student Union”

Step 1: Open Sources

  1. Open your fair.
  2. Click Sources in the left sidebar.

Under Fair sources you will see your existing sources (if any) and how many valid registrations each source has generated. Each row has a toggle, plus icons to edit the source, remove it, and copy its link.

The Sources tab lists each source and its count of valid registrations.

Step 2: Create a source

  1. Click Create.
  2. Enter a Source name.
  3. Click Create.

To rename a source later, click the edit (pencil) icon on its row.

Create a new source by entering a name.

Tip: Use names that match your promotion plan (example: “Instagram Jan 2026” or “Partner Newsletter”).

Step 3: Turn a source on or off

Each source has a toggle:

  • On means the source link is active and can be used for tracking
  • Off means you are not using that source right now

For any active source:

  1. Click the copy icon on the right of its row.
  2. Paste that link into your marketing asset (email, social post, QR code generator, partner page).

Withe will attribute registrations to the source when participants register using that link.

How reporting works

As registrations come in, Withe updates the valid registrations count beside each source. You can also view source performance in Reports after the fair.

Troubleshooting

I created a source but want to rename it

Click the edit (pencil) icon on the source’s row and update the name. The source link and its registration count stay the same.

The registration count is not increasing

  • Confirm you are using the source link, not the standard fair link
  • Make sure the source is toggled on
  • Complete a test registration using the source link to confirm attribution
