Find and share your registration links
The difference between an employer joining your fair and a candidate registering for it, which link each one needs, and where to find every link.
Goal
Understand how employer booth registration differs from candidate registration, know which link each audience needs, and find every one of those links in Withe.
When to use this
- You are promoting a fair and are not sure which link belongs in which email
- Someone tells you they “can’t find the employer login”
- An employer received the wrong link and ended up on the wrong screen
- An employer says your invitation never arrived
- You are new to Withe and want to understand how the two audiences differ
The difference in one line
Employers register for a booth. Candidates register to attend.
People often call both of these “registration”, which is why the wrong link gets sent. In Withe they are two separate processes that produce two different results:
- Employer booth registration — an employer applies, or you invite them. The result is a booth, and the employer’s organization owns it.
- Candidate registration — a candidate opens the fair link and signs up to attend. The result is a registration, and it belongs to that person.
They start in different places and end up in different lists in your dashboard: booths on the Booths tab, registrations on the Registrations tab. What they share is the account: one Withe account, one sign-in page, for everybody.
Every link, at a glance
Five links in total. Step-by-step instructions for finding each one are under Where to find each link.
For candidates
- The fair link — the fair’s public page, where Register starts registration. Find it under Share on your fair. Works for anyone, no account needed to browse.
- The fair QR code — the same destination, scannable. Find it under Fair QR code on your fair. In-person and hybrid fairs only.
For employers
- The Booth interests form — a public application form you review. Find it under Share in the Booth interests section of the Booths tab. No account needed to submit.
- The fair invite link — a one-to-one invitation tied to a single email address. Find it under Copy fair invite link in the Fair invites section of the Booths tab. Only exists if you charge for booths.
For your welcome desk
- The participant form — a walk-in registration screen you open on a tablet at the fair. Find it under Register on the Registrations tab. In-person and hybrid fairs only.
Note that there is no separate “candidate registration link”. The fair link is the registration link.
Everyone signs in at the same place
There is no separate employer login and no separate candidate login. There is one of each page:
You are not asked to pick a role when you create an account. You sign up with Google, LinkedIn, or your email address, and that is the whole choice. See 2. Log in and manage your account.
So what decides where you land?
- The link you opened. Withe sends you back to it after you sign in. Open a fair link and you continue into fair registration. Open an invitation and you continue into joining the fair.
- For employers, the organization you have selected. Your organization is what joins a fair and owns the booth — not your personal account.
This is why “which login do I use?” is almost never the real question. The real question is which link the person was sent.
Note: Signing in with a different method than last time can put you in a second, empty account. If you signed up with Google, keep using Google.
How employer booth registration works
There are two paths, and as the organizer you decide which one an employer takes.
They apply: the Booth interests form
You share the fair’s Booth interests form link. An employer fills it in with their contact details and organization name, plus any extra questions you added. They do not need a Withe account to submit it.
Submitting the form does not create a booth. Nothing appears on your fair page until you review the submission and accept it.
What happens when you accept depends on the fair:
- If booths are free, accepting creates the booth right away and Withe emails the contact to confirm it.
- If you charge for booths, accepting creates an invitation instead. It appears in the Fair invites section, and the booth is created once the employer accepts and pays.

You invite them directly
Both routes start with an Invite button on the Booths tab, but they behave differently and live in different sections.
If booths are free — use the Invite button in the Fair booths header.
You enter the employer’s contact email, search for an existing user, then confirm their name and organization. The booth is created as soon as you submit — there is no acceptance step and nothing to wait for. Withe emails the contact to tell them their booth is ready.
Because the booth already exists, there is no invitation link to copy here. What the contact receives is either an account activation link or a link straight to their booth, depending on whether they already have a Withe account.
If you charge for booths — use the Invite button in the Fair invites header.
You enter the contact email and company name, and Withe sends an invitation. The employer clicks View invitation, signs in or signs up, selects which of their organizations is joining, and clicks Proceed to checkout. Their booth is created once payment goes through.
This is the one employer link you can copy and send yourself: each row in Fair invites has a Copy fair invite link button.
New contacts get an activation link first
If the person you invite has never used Withe, their first email is an account activation email with an Activate account button, not a fair link. They set up their account, and that lands them in their booth.
Until they do that, their row on the Booths tab shows a red Inactive badge. Click it and you can Copy activation link to send them yourself, or Resend email.
How candidate registration works
Every candidate route ends in the same place: the fair page, where Register starts the flow. Browsing the participating employers needs no account — candidates only sign in when they register.
- The fair link and the QR code go to the same page. On event day the QR code also checks people in: check-in opens one hour before the fair starts, and a registered, signed-in participant is prompted to check in when they scan. Virtual fairs have no QR code.
- The participant form is not a link you send. It is a screen you open on a tablet at the welcome desk so walk-ins can register on the spot, without an account. In-person and hybrid fairs only.

Where to find each link
Copy the fair link
- Open your fair.
- Click Share in the top-right corner.
- Click Copy to copy the Fair URL, or pick one of the sharing options.
Open the fair QR code
- Open your fair.
- Click Fair QR code in the top-right corner.
- Choose Copy link, Download, or Print.
Copy the Booth interests form link
- Open your fair and go to the Booths tab.
- Scroll to the Booth interests section.
- In its header, click Share, then Copy URL.
If nobody has submitted the form yet, the empty section also has a Copy URL button, so you can grab the link without opening the dialog.
Invite an employer (free booths)
- Open your fair and go to the Booths tab.
- In the Fair booths header, click Invite.
- Enter the Primary contact email.
- Click Search users, then confirm the contact’s name and organization.
- Submit. The booth is created immediately.
Invite an employer and copy the invite link (paid booths)
- Open your fair and go to the Booths tab.
- In the Fair invites header, click Invite.
- Enter the Primary contact email and Company name, then send.
- To send the link yourself, find the row in Fair invites and click Copy fair invite link.
Copy an account activation link
- Open your fair and go to the Booths tab.
- Find the booth row with the red Inactive badge and click it.
- Choose Copy activation link, or Resend email.
Open the participant form
- Open your fair and go to the Registrations tab.
- Click Register in the top-right corner.
- Choose Participant form.
Choosing what to send
- An employer you have not vetted — the Booth interests form. The review step, and the extra questions you add to the form, are how you decide.
- An employer you have already chosen — Invite instead. The interest form only adds a review step you were going to approve anyway.
- Candidates — the fair link is the only link they need. Choose between it and the QR code by medium, not by audience: link for anything digital, QR code for anything printed or on a screen.
- Walk-ins — the participant form at your welcome desk, for people who never registered in advance.
- Never send the fair link to an employer as a way of inviting them. It has no path to a booth.

Troubleshooting
I sent an employer the fair link by mistake
The fair link opens the public fair page, where Register signs someone up to attend as a participant. It will not give them a booth. Ask them to ignore it, then either send the Booth interests form or invite them from the Booths tab.
If they already registered as a participant, you can remove that registration from the Registrations tab — see 9. Manage registrations.
An employer cannot find the employer login
There is no separate employer login, so point them at the destination rather than a login page:
- If they already have a booth, tell them to sign in and open the fair from their Withe home page. The public fair page also has an Are you an employer? Login here link in the sidebar that goes straight there.
- If they do not have a booth yet, they are not looking for a login at all. Send them the Booth interests form, which the fair page links to as Interested in participating as an employer?
An employer says they cannot find the invite email
Emails come from no-reply@updates.withe.co. Ask them to check spam and junk, and to search their inbox for the fair name. Also confirm you sent it to the address they actually use — invitations and activation links only work for the address they were issued to.
You can also send the link yourself instead of waiting: Copy fair invite link if the fair charges for booths, or Copy activation link from the red Inactive badge if their account was never activated.
An employer signed in but is in the wrong organization
Invitations are tied to an organization, not just a person. If they have more than one organization in Withe, they need to select the invited one on the invitation page before joining. See 14. Joining a fair (Employers).
An employer opened a fair link and saw an employer screen instead of the registration page
Booth pages adapt to whoever is signed in: with an organization selected you get the employer view of that booth, and without one you get the candidate view. The fair page and the registration flow always show the candidate view, so if someone needs to register as a participant, send them the fair link rather than a booth link.
An employer opened your fair dashboard and saw “Fair does not belong to your organization”
They are signed in with an organization that has no booth at your fair. If they should have one, invite them from the Booths tab. If they only meant to attend, the same screen has a Connect to fair as participant button that switches them out of their organization so they can register.
Someone says they registered but you cannot find them
Check which fair they registered for, and check the Registrations tab rather than the Booths tab — employers who joined your fair are booths, and never appear in the registration list.
