Joining a fair (Employers)
Join a fair by submitting an interest form or accepting an invitation.
Goal
- Help someone who wants to request a booth submit the interest form correctly
- Help someone who has an invite email successfully accept it
When to use this
- You want to request a booth at a fair, but haven’t received an invite yet (use the interest form)
- You received an email invite to join a fair as an employer (you’d accept it directly)
- You’re not sure which of your organizations should be joining, and need to confirm that before proceeding
What you’ll need
- Access to the email address that was invited (or used on the interest form)
- A Withe account (or be ready to sign up)
- The correct organization profile selected in Withe
Overview
There are two common paths:

Fair interest form (request a booth)
You submit your details and the organizer reviews your request. If approved, you will receive an invite email.

Direct invite email (join a fair)
You open the invite from your email, sign in (or sign up), select the correct organization, and click Join fair.
Option 1: Submit a fair interest form (request a booth)
Step 0: How do you find an interest form?
Interest forms are not sent directly to employers. Anyone visiting the fair’s public page can find the link under “Interested in participating as an employer?” near the Registration panel. Clicking it opens a dedicated interest form for that fair.
Step 1: Open the interest form and fill in your details
All interest forms collect:

Contact email

Organization name
Any additional questions are set by the fair organizer.
Step 2: (Optional) View the fair details ( in the additional info)
If the form includes a View fair link, use it to confirm the date, format, and location before submitting.
Step 3: Submit the form
Click Submit. You will see a confirmation message and receive a confirmation email that your submission was received.
Note: Submitting an interest form does not automatically create a booth. The organizer must approve your request first.
Option 2: Accept a fair invite (join the fair)
Step 1: Open your invite email
Invites are sent from no-reply@updates.withe.co. Open the email and click View invitation (or copy/paste the invite link).
Step 2: Sign in or sign up
- If you already have a Withe account, sign in.
- If this is your first time, click Sign up to create an account, then return to the invite.
Step 3: Confirm the organization you are joining with
On the invitation page, select the organization that should participate in the fair.
If you are signed in with the correct account and select the invited organization, you can click Join fair to accept the invite. You can also Decline invitation if needed.
Step 4: If you see an organization mismatch warning
Sometimes the invite was sent to “Organization A” but you have “Organization B” selected (or there is a spelling difference). You will see a warning asking you to confirm.
You can:
- Switch to the correct organization (recommended)
- Create a new organization if you do not have one yet
- Join anyway if the mismatch is just a minor spelling difference and you are sure it is correct
What happens after you join?
Once you successfully join the fair:
- Your organization is added as an employer for that fair
- A booth is created for your organization
- You can proceed to complete your booth setup
Troubleshooting
I cannot find the invite email
- Check spam/junk and search for no-reply@updates.withe.co
- Search your inbox for the fair name or “invited to join”
The invite link says I need to sign in, but I already have an account
Make sure you are signed in with the email address that received the invite, then open the invite link again.
I am signed in but do not see the correct organization
You may need to create the organization in Withe first, then return to the invite page and select it.
The organization name is slightly different than the invite
If it is just a minor spelling difference and you are sure it is your organization, you can still join. If it is a different organization, switch to the correct one or create a new one.
